A transparent look for clients and a reality check for fellow DJs & event professionals
At Sound.wav Rentals, we believe great events don’t happen by accident. They’re built on experience, preparation, professional-grade equipment, and real behind-the-scenes work; much of which is invisible to clients and often underestimated within the event industry itself.
This post is written for two audiences:
• Prospective clients, who want to understand what goes into professional DJ pricing
• Fellow DJs and event professionals, as a useful exercise in sustainability and long-term planning
The Value We Bring to Every Event
Professional Sound Systems
Every event begins with reliable, high-quality audio. We deploy professional systems selected for clarity & coverage, which is scaled appropriately for ceremonies, receptions, conferences, school events, and large gatherings.
Our inventory includes column-style systems, full-range powered speakers with subwoofers, compact setups for ceremonies, and battery-powered solutions for outdoor or remote locations from trusted manufacturers like Electro-Voice, QSC, and Yorkville.
Microphones & Speech Clarity
Clear communication is non-negotiable. We use professional wireless and wired microphones from Shure, ensuring speeches, ceremonies, and announcements are heard clearly without distractions or technical issues.
Stands, Cabling & Power
Speaker stands, microphone stands, XLR and DMX cabling, power distribution, extension cords, and backups may not be glamorous, but they are essential. This infrastructure is what allows an event to run safely, cleanly, and without interruption.
Professional Lighting
Lighting is what transforms a space from functional to unforgettable. Our setups include wireless, battery-powered uplighting, dynamic dance-floor lighting, moving heads, wash effects, and specialty fixtures, like our starburst effect lighting and lasers. Each event is designed to suit the venue, timeline, and atmosphere—never a one-size-fits-all approach.
All lighting is professionally controlled and installed to enhance the room, not overpower it, using equipment from industry leaders such as American DJ.
Control, Playback & Redundancy
Every event runs with multiple playback systems, including primary and backup laptops from Apple (Macbook Pro), paired with professional mixers from Soundcraft. Our music library includes 60,000+ clean, curated tracks, constantly updated and tailored to each event.
In terms of financial value alone, each event we provide services for includes approximately $20,000 to $50,000 worth of professional sound, lighting, and technical equipment on site.
The Reality of Running a Professional DJ & Event Business
What clients see on event day represents only a fraction of what’s involved. Operating professionally includes ongoing responsibilities such as:
• Business licences and professional memberships
• Vehicle ownership, maintenance, insurance, and fuel
• Office space and utilities
• Website development, hosting, and advertising
• Insurance (business and vehicle)
• Accounting, bookkeeping, and compliance
• Sales tax collection and income tax
• CPP contributions (both employee and employer portions when self-employed)
• Ongoing equipment maintenance and replacement
Each year, total operating costs are carefully calculated and spread across every event we perform. This ensures the business remains reliable, insured, and sustainable not just this year, but long-term.
Time: The Most Overlooked Cost
Weddings
A single wedding typically represents 24–32 hours of work, including:
• Initial inquiries and consultations
• Planning meetings and timeline coordination
• Music preparation and custom playlists
• Setup, teardown, and testing
• Full-day on-site execution through the final song
Corporate Events, School Dances & Private Functions
These events still require significant preparation and on-site time, typically 12–16 hours per event, from planning through teardown.
That time reflects accountability, focus, and the responsibility of being one of the most visible and relied-upon vendors at any event.
Experience You Can’t Download
Every event also includes 12+ years of experience, 275+ weddings, and 400+ events worth of problem-solving, adaptability, and professionalism. That experience prevents issues before they happen—and resolves them quickly when they do.
Why This Breakdown Matters
For other DJs and event professionals, this is a valuable exercise:
👉 Are your prices truly covering your time, expenses, and future sustainability?
For clients, we hope this breakdown provides clarity around what professional DJ services actually include and why pricing reflects preparation, responsibility, and reliability, not just music playback.
At the end of the day, sustainable pricing isn’t about charging more. It’s about showing up prepared, experienced, insured, and dependable — every single time.
